A vacancy has arisen for an Academic administrator on the Shotley peninsula
37 hours per week / 43 weeks per year (term time plus 11 weeks in holiday period, including specific weeks in the summer) on a permanent, term time role.
You will be responsible for pupil information within the school, both within the iSAMS database and pupil files at the Royal Hospital School in Holbrook..
Provide key academic administrative support for the school in areas including the management of timetables and class lists, reporting, staff cover, exams administration, careers education and pupil data as well as providing secretarial, clerical and administrative support to the DoAS, Deputy Head (Academic) [DH(A)], Head of Careers, Heads of Department [HoD] and Heads of Year [HoY].
The successful applicant will promote and safeguard the welfare of the children and young people with whom you come into contact and have overall responsibility for the quality and accuracy of pupil data within the Pupil Files and the school's Management Information System, iSAMS. You will manage iSAMS information on timetable, registration and class lists to ensure the smooth day to day running of the school day. Support the DH(A) in managing teaching staff absence through the recording and reporting of absence and setting of advance notice cover. Support the DoAS in the administration and publication of school reports to parents. Resolve issues in iSAMS relating to aspects outlined above. Contact iSAMS to request assistance and guidance for dealing with any issues that require their support. Review data, processes and format of the modules in iSAMS and, working with the DoAS, Systems Analyst and Director of IS Development, suggest improvements.Successfully utilise My School Portal (MSP).
Support the DoAS and Exams Officer in the administration of school and public examinations.
Support the DoAS with the administration of parents meetings.
Support SMT and other middle leaders through administration of events. Produce or compile reports and documents for the Headmaster, DH(A), DoAS or other members of staff. Communicate professionally and effectively with all colleagues within the school, and with external agencies.Any other reasonable administrative support for the Senior Management Team, teaching or support staff, as requested.
This is a role with high degree of responsibility requiring flexibility and adaptability. The confidential and sensitive nature of a significant proportion of the work demands tact, discretion and diplomacy. The unique status of the school provides variety and interest, while changes in organisational structure and culture mean procedures need constant monitoring and revision. There is opportunity to shape procedures and contribute to organisational effectiveness and business success.
Your educational qualifications will be GCSE A-C or O Level (or equivalent) English and Maths or equivalent
Recognised relevant qualification
Specialist knowledge and skills Highly proficient in the use of Microsoft office productsUnderstand procedures and legislation relating to data and confidentiality
Competence with MailmergeKnowledge of iSAMS, RHS Post, MSP
Interpersonal and communication skills High levels of organisation and efficiencyExcellent attention to detail and accuracy of task completion

Experience of using a Management Information System (MIS)

Experience of producing the School Census and Post-16 returnsExperience of working in a school
